Reconciliation / Workflow example
Find the $50 Fee Behind a Bank Deposit Difference
Connect the sales, fees, and settlement memo. Confirm the explanation before recording the match.
The sample batch has $5,000 in card sales and $120 in processing fees. The bank deposit is $4,830. This example finds the supporting $50 settlement fee and prepares a match for human confirmation.

How Is the Difference Explained?
Select Explain this deposit. The result connects sales, processing fees, and settlement memo ADJ-77. The memo records a separate $50 settlement fee. Subtracting both fees from sales produces the bank deposit amount.
Examine the amounts and memo before confirming the match. Each calculation row has a source record. The explanation proposes the adjustment; it does not record approval automatically.
Confirm the deposit match. The receipt shows batch P2, bank record B2, a $4,830 deposit, and a $0 remaining difference. Download the reconciliation report to obtain a real CSV containing the sample amounts and status.
Change the deposit to $4,800. The same memo cannot explain the full difference, so the batch stays open. Try the two equal deposits to see why an amount alone cannot prove the match.
The useful result is an explained amount bridge and a review record. Money calculations remain exact and follow the supplied source amounts.
What Potential ROI Could This Produce?
At 60% adoption, this example releases 19.2 hours per month. Assisted time includes human review.
Labor proxy: bookkeeping, accounting, and auditing clerks. BLS May 2025 wages are $26.15/hour in Phoenix and $25.75/hour nationally.
The cost factor is 1.43, from US private-industry compensation, June 2026. This national factor is a Phoenix assumption.
| Input | Sample assumption |
|---|---|
| Monthly tasks | 160 |
| Minutes, manual → assisted | 18 → 6 |
| Build budget | $5,000 |
| Monthly operations | $150 |
| Potential value | Phoenix | US |
|---|---|---|
| Hourly wages + benefits | $37.39 | $36.82 |
| Monthly capacity value | $718 | $707 |
| Monthly net capacity value | $568 | $557 |
| First-year capacity ROI | 27% | 25% |
| Payback, months | 8.8 | 9.0 |
First-year cost: $6,800. ROI divides annual capacity value, less first-year cost, by first-year cost. Payback divides build cost by monthly net capacity value. Slower adoption delays payback.
Released capacity is not automatic cash savings. Workload and time reductions are illustrative, not BLS findings. Internal support is assumed; desic Maintenance costs extra. The budget and operating allowance are illustrative, not a desic quote. Measure costs before deciding.
What Needs Human Review?
The finance reviewer makes sure that the records belong together. A real build needs stable bank and processor identifiers. Keep unresolved differences visible and keep the evidence supporting each confirmed adjustment.
Measure time per batch, unmatched amounts, exception age, and corrections after approval. Compare exported reports with source records during testing. Correct arithmetic does not replace a verified record match.
